VSMCamp 2020

VSMCamp is a prestigious annual event for sales, marketing, advertising and communication circles, organized by the Club of Vietnam Sales & Marketing Directors (CSMO Vietnam) and Le Bros. The event aims to create a playground to connect, improve knowledge for the sales and marketing professionals in order to keep up with the trend and confront the challenges of the fast-changing market.

My Role

Project management: As the event was held with hybrid format, it was a lot detailed things to prepare

Participating in planning the event (topics, speakers, time & date, revenue, communication strategy, sales plan, sponsorship, technology...)
Allocating and updating the budget regularly
Monitoring the progress of multiple teams that involved
Keeping the Project Manager informed of any issues or concerns along the way

Content management: The event was spread out in different media channels such as online newspaper, Facebook page, website, landing page, ticket selling channel... and my job was to:

Create content for website, landing page & ticket selling platform
Control the timeline along with the quality of content production on other channels

Sales management: I took care the position of sales 'little leader', which included:

Contacting, dealing and working with Ticketbox
Tracking and contacting with ticket buyers
Managing buyers' data since there were 100% e-tickets (which used a different system)

Event conduction:

Checking-in & supporting for guests with Zoom's system (Zoom was our technology partnership)
Taking care of online guests if any technical problems occurred
Arranging and monitoring facilities for the event

Lessons learned:

Every little issue counts: even I think it is a tiny problem and it can be fixed in the end of a day, I still need to inform my direct manager to let her know clearly of what is happening and prepare for the plan B if the problem cannot be solved
Smallest work with biggest responsibility: putting 100% of my responsibility in everything I do will make it is easier for others' work and less time-consuming for the whole team.
Be gentle with myself as I did my best: perfectionism is not a thing, sometimes it is hard to fully control others' works as everyone has a different way of working and there is no need to blame myself. Knowing that I tried my best is "perfect" enough for my mental world.
